Receptionist/Office Coordinator (1 year contract - maternity replacement)

About the Role
We are seeking a dynamic and proactive individual to fill the role of Receptionist/ Office Coordinator. This position is responsible for overseeing various aspects of our workplace to ensure a positive and efficient working environment. The ideal candidate will have a keen eye for detail, excellent organizational skills, and a passion for creating an exceptional employee experience. Please note that this position requires the candidate to work on-site at both the current office location (Place Alexis-Nihon) and the future office location at McGill College. The successful candidate must be comfortable with the transition between these office locations.
Core Responsibilities
1. Reception:
- Oversee front desk operations, ensuring a welcoming and professional reception area, including managing phone calls, scheduling meeting room bookings, and handling visitor logs.
- Manage the mailroom and all aspects of incoming and outgoing office deliveries.
- Create Guest WI-FI passes as required.
2. General Office Duties:
- Ensure the smooth and efficient functioning of the office by maintaining the cleanliness and safety of assigned areas, including kitchens and conference rooms. Perform daily rounds and promptly report or escalate any issues to your lead and team members.
- Manage office supplies and order consumables (e.g., kitchen supplies and stationery).
- Coordinate with building management and external vendors for maintenance, repairs, and other facility-related services. Participate in training organized by the building’s facility management company (e.g., fire warden training).
3. Event Coordination:
- Coordinate employee events, including catering, event space, and entertainment.
- Provide administrative and technical support for corporate meetings.
- Organize corporate community outreach initiatives.
4. SWAG Distribution:
Manage the coordination of SWAG distribution, including warehousing, ordering, and international shipping.

- Strong organizational and multitasking abilities.
- Excellent time management skills.
- Adaptability to new tasks and responsibilities.
- Attention to detail.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft applications such as Word, Excel, and PowerPoint
- Proficiency with office software tools for booking and event management (e.g., Outlook, Teams).
- Strong proficiency in both written and verbal English & French communication, essential for effective correspondence with clients, suppliers, business partners, and colleagues across Canada.
- Ability to collaborate effectively within a team.
