Company Description

MEDFAR Clinical Solutions was founded in 2010 by two aeronautical engineers who realized that the healthcare system was not exploiting the full potential of technology. Supported by a large community of medical experts and focused on clinical success and patient safety, MEDFAR was the first company to certify a cloud-based Electronic Medical Record in Canada: MYLE (Make Your Life Easy).

Committed to promoting excellence and effectiveness in healthcare worldwide, MEDFAR differentiates itself by offering a unique healthcare management solution for clinics, which replaces inefficient processes with a faster and safer technological alternative.

Job Description

The Payroll Coordinator supports the Payroll Master in the end-to-end payroll processing for employees located in Canada, the United States and India. This role is a strong fit for someone early in their payroll career who wants to build deep, multi-jurisdictional payroll expertise while contributing to the modernization of MEDFAR's payroll and HR systems, including the ongoing HRIS implementation. The Payroll Coordinator works closely with the Payroll Master, HR and Finance to ensure accurate, timely and compliant payroll across all regions.

Key Responsibilities

Payroll Processing Support

  • Assist the Payroll Master in preparing and processing payroll cycles for Canada (ADP), the US (Surepayroll) and India, ensuring accurate and timely payment to all employees.

  • Collect, validate and input payroll-related data, including new hires, terminations, salary changes, timesheets and expense reports.

  • Help track and process RRSP contributions and remittances on behalf of employees.

Compliance and Reporting

  • Support compliance with local and federal payroll regulations across Canada, the US and India.

  • Assist in preparing year-end summaries, tax filings and statutory reports under the guidance of the Payroll Master.

  • Maintain organized, audit-ready payroll records and documentation.

HRIS Implementation Support

  • Support the Payroll Master and HR team throughout the HRIS implementation, including data collection, data validation, testing and documentation for the payroll module.

  • Help identify and troubleshoot data discrepancies between the HRIS and payroll systems during and after implementation.

  • Contribute to the documentation of new payroll processes and workflows resulting from the HRIS rollout.

Coordination and Employee Support

  • Work closely with HR to ensure employee records are accurate and up to date.

  • Respond to routine employee inquiries regarding payroll, escalating complex questions to the Payroll Master as needed.

  • Assist with the preparation of payroll communications to employees.

Continuous Improvement

  • Identify opportunities to streamline and standardize payroll processes across the three jurisdictions.

  • Take on increasing payroll responsibilities over time under the mentorship of the Payroll Master.

Qualifications

Ideally you have:

  • 1–3 years of experience in payroll, HR administration, or a related finance/accounting function; multi-jurisdictional exposure (Canada, US and/or India) is an asset.

  • Working toward or interested in pursuing a payroll certification (e.g., PCP with the National Payroll Institute).

  • Strong attention to detail, organizational skills and a methodical approach to data accuracy.

  • Comfortable working with payroll or HRIS systems (experience with ADP or Surepayroll is an asset, not required).

  • Bilingual (French and English) preferred.

  • Strong Excel skills and comfort working with data across multiple systems.

  • A proactive, collaborative mindset and eagerness to learn from an experienced Payroll Master.

Even Better If

  • Prior exposure to an HRIS implementation or system migration project.

  • Familiarity with payroll practices in more than one of Canada, the US or India.

Additional Information

  • RRSP contribution

  • Healthcare insurance from day one

  • Paid time off: 3 weeks + 1 additional week between Christmas and New Year

  • Annual training allowance to support your professional development

  • An onboarding program to help you get familiar with our environment and the digital healthcare field

  • All IT equipment is provided, with additional gear if needed

  • Internal growth opportunities (promotions, internal mobility)

  • Support from a wellness and social committee, with initiatives to foster team cohesion, mental health, and employee well-being
