Dans ce rôle, vous… 

  • Assurez la gestion globale des opérations du bureau et le soutien logistique, y compris l’inventaire des fournitures et l’entretien des espaces communs. 

  • Favorisez un environnement agréable et accueillant pour les clients et les employés, en apportant votre expertise en matière d’accueil. 

  • Menez des initiatives internes visant à optimiser l’expérience sur le lieu de travail, à rationaliser les processus et à améliorer l’efficacité opérationnelle. 

  • Assurez la conformité et la continuité en gérant les relations avec les fournisseurs et en veillant à ce que tous les contrats soient tenus à jour et classés. 

  • Dirigez la supervision du bureau en tant que contact principal pour les employés et le propriétaire, en assurant une gestion fluide des espaces, du nettoyage et des services d’entretien; vous êtes chargé(e) de communiquer les annonces concernant le bâtiment et de servir de contact principal en cas d’escalade pour les questions liées aux espaces de bureau et aux opérations. 

  • Dirigez les efforts de planification des évacuations d’urgence, y compris la coordination et la communication; vous êtes certifié(e) en secourisme pour fournir une assistance immédiate si nécessaire. 

  • Collaborez avec les membres de l'équipe pour planifier et organiser des événements et des activités à l'échelle du bureau visant à renforcer l'esprit d'équipe et à redynamiser la culture d'entreprise.  

  • Faites office d'adjoint(e) administratif(ve) auprès du directeur général du Courtage pour le Québec. 

  • Réalisez des projets ponctuels selon les besoins. 

Ce que vous apportez 

  • Au moins 2 ans d'expérience pertinente, notamment dans des fonctions administratives et opérationnelles. 

  • Excellentes compétences interpersonnelles et de communication, et capacité à travailler avec un groupe diversifié à tous les niveaux de l’organisation.  

  • Grand souci du détail, très organisé(e) et fiable, avec une forte capacité à établir des priorités et à assurer le suivi, y compris la flexibilité et l’adaptabilité nécessaires pour travailler efficacement dans des situations en constante évolution. 

  • Maîtrise de Microsoft Office : Word, Excel, PowerPoint et Outlook, avec une capacité avérée à apprendre rapidement d’autres programmes. 

  • Solides compétences en planification d’événements, en administration de projets et en coordination.

About the role 

The Business Services group plays an integral part in the general management and operations of our office, interacting with employees across all business lines and levels of seniority and plays a key role in our clients’ and employee experience at the office.  

In this role, you are client-service centric and have a bias for getting the job done and enjoy working with various people across the organization. You bring resilience, a “how can I help” mindset, and a proactive approach to all projects that you tackle. You welcome new challenges and bring a positive and professional attitude to the team and stakeholders.  

In this role, you will… 

  • Support overall management of office operations and logistical support, including inventory of supplies, and upkeep of common areas 

  • Promote a delightful and inviting environment for clients and employees, providing reception expertise. 

  • Spearhead internal initiatives to optimize workplace experience, streamline processes, and improve operational efficiency. 

  • Drive compliance and continuity by managing vendor relationships and ensuring all contractual agreements are accurately maintained and organized  

  • Lead property oversight as the primary contact for employees and landlord, ensuring smooth management of facilities, cleaning, and maintenance services; responsible for communicating building announcements and serving as primary escalation contact for office facilities and operational issues.  

  • Lead emergency evacuation planning efforts, including coordination and communication; first aid certified to provide immediate assistance if needed.  

  • Collaborate with team members to plan and execute office-wide events and activities focused on fostering a sense of community and revitalizing office culture.  

  • Provide basic administrative assistance to the Managing Director of Brokerage for the Quebec Region 

  • Undertake ad hoc projects as required.  

What you’ll bring 

  • 2+ years of relevant experience, including administrative and operational duties 

  • Excellent interpersonal and communication skills, ability to work with a diverse group at all levels of the organization.  

  • Strong attention to detail, highly organized and dependable with strong ability to prioritize and follow-up, including being flexible and adapting to work effectively in changing situations 

  • Proficient in Microsoft Office: Word, Excel, PowerPoint and Outlook, with demonstrated ability to learn other programs quickly. 

  • Strong event planning/project administration and coordination skills.
