Job Description

As an administrative assistant, you will play an essential role within the team. A true pillar of administrative support, you will be responsible for document management, layout and revision of technical documents, coordination of certain internal activities, and compliance with CIMA+ quality standards. Your attention to detail and organizational skills will be highly valued in a collaborative and stimulating environment.

Primary Responsibilities 

  • Revise, edit and format various technical documents (reports, minutes, site logs, service offers) in accordance with CIMA+ quality standards.
  • Support the team in producing and sending deliverables to customers
  • Ensure document management and electronic archiving via SharePoint in accordance with current standards
  • Open and structure projects in the SharePoint environment
  • Keep the Quality Management System (QMS) up to date
  • Participate in the development of monitoring and coordination tools with a view to continuous improvement.
  • Help organize the logistics of internal events (team meetings, training, social activities, etc.).

 

Qualifications

  • Diploma of Vocational Studies (DVS) or College Diploma (DEC) in secretarial, administrative or related fields
  • Excellent command of French (oral and written) and fluency in English
  • Proficiency in office automation tools: Microsoft 365 (Word, Excel, Outlook, Teams), SharePoint, Acrobat,
  • High degree of autonomy, sense of priorities, attention to detail and initiative
  • Good interpersonal skills and ability to collaborate in a dynamic environment
  • Assets: knowledge of MS Project, Microsoft Dynamics, Visio
