Position Summary:
The Tanenbaum Open Science Institute is seeking a highly organized and proactive Project Manager to lead the planning and execution of the Metascience Conference 2027, an international event dedicated to advancing the science of science. The conference will take place in Montreal, Canada, and is co-organized by the Tanenbaum Open Science Institute (TOSI) and the Center for Open Science (COS). This role, based in Montreal and part of the TOSI team, involves coordinating logistics, managing timelines, and ensuring seamless collaboration among stakeholders, including researchers, sponsors, and institutional partners.

Primary Responsibilities:

Conference Planning & Execution

  • Develop and manage the overall project plan for the Metascience Conference 2027, including timelines, milestones, and deliverables.

  • Oversee venue arrangements (or hybrid platform setup), catering, AV requirements, and accessibility considerations. 

  • Work closely with an event management company to ensure professional execution of all logistical aspects.

  • Manages abstract submissions, peer review processes, and program scheduling.

Program Committee Coordination

  • Recruit and assemble a Conference Program Committee composed of leading experts in metascience.

  • Oversee the committee’s operations, including agenda setting and scheduling meetings

Stakeholder Management

  • With the event management company, serve as the point of contact for speakers, panelists, and attendees.

  • Liaise with sponsors, academic institutions, and partner organizations to ensure alignment with conference goals.

  • Facilitate communication between scientific committees and operational teams.

Budget & Resource Management

  • Prepare and monitor the conference budget, ensuring cost-effectiveness and financial accountability.

  • Negotiate contracts with vendors and service providers.

Marketing & Outreach

  • Collaborate with communications teams to develop promotional strategies, including social media campaigns and email outreach.

  • Ensure accurate and timely updates on the conference website and registration platform.

Risk & Compliance

  • Identify potential risks and develop contingency plans.

  • Ensure compliance with institutional policies, data privacy regulations, and ethical standards.

Other Qualifying Skills and/or Abilities

Proven experience in conference organization or large-scale academic event planning. Familiarity with Metascience, research evaluation, and open science initiatives is highly desirable. Understanding of scholarly publishing, peer review systems, and research funding landscapes. Strong project management skills, including proficiency with tools like Asana, Trello, or similar. Excellent communication and interpersonal skills. Ability to work independently and manage multiple priorities under tight deadlines. Knowledge of diversity, equity, and inclusion best practices in academic events.
