- Manage the daily activities of the head office and ensure its proper functioning at all times.
- Act as the main liaison with building management, ensuring all maintenance, security, and facility-related matters are handled efficiently.
- Administer policies and procedures related to the building, including access control, safety, and space management.
- Coordinate and control administrative expenses related to the office space, equipment, supplies, parking, maintenance, and security.
- Oversee office supply inventory, shipping and receiving, and the upkeep of all shared spaces such as meeting rooms and the employee lunch space.
- Manage vendor relationships and service contracts related to office operations.
- Coordinate team meetings, business dinners, and corporate activities that take place in Intelcom’s conference rooms and employee areas.
- Plan and execute internal events that strengthen team culture — including celebrations, milestone recognitions, and company-wide gatherings.
- Ensure all events and meetings run smoothly by managing catering, room setup, AV equipment, and any special requirements.
- Provide administrative support to various head office teams as needed
- Handle the administrative follow-up of various projects and committees, ensuring tasks and deliverables stay on track.
- Support onboarding and offboarding processes, including preparing workstations, access cards, and welcome materials.
- Manage internal communications and assist with document organization, scheduling, and travel coordination when required.
Excellent organizational, communication, and problem-solving skills.
- Strong interest in event planning and execution, with enthusiasm for supporting employee engagement initiatives.
- Proficiency with Microsoft Office, Teams, SharePoint, and other workplace tools.
- Strong sense of initiative, attention to detail, and ability to multitask in a fast-paced environment.
- Bilingual (English/French)

- Proactive and adaptable, able to anticipate needs and find creative solutions.
