About the role
- As a Junior Project Manager, you will be a key contributor to our PMO function, supporting the execution of both client-facing AI agent deployment projects and internal cross-functional initiatives. You will work closely with the Operations Manager, the CEO, and our product, engineering, sales, and pre-sales leads to keep projects moving, surface risks early, and ensure that nothing falls through the cracks. This is a hands-on execution role for someone who thrives on structure, ownership, and getting things done in a fast-moving environment.
What you'll do
- Own day-to-day execution of client-facing AI agent delivery projects, ensuring timelines, milestones, and deliverables are met.
- Coordinate internal projects across product, engineering, sales, pre-sales, and operations.
- Build and maintain project plans, timelines, RACI matrices, status reports, and dashboards in Asana.
- Track milestones, dependencies, and risks across multiple workstreams; proactively flag and escalate blockers.
- Facilitate recurring project meetings (kickoffs, standups, status reviews, steering committee updates) and produce clear, actionable meeting notes and follow-ups.
- Prepare client-facing project updates and internal leadership reporting.
- Support contract administration, vendor onboarding, and resource coordination across projects and entities (Canada, US, UK).
- Maintain and continuously improve PMO templates, processes, and documentation as the company scales.
- Partner with the Operations Manager on cross-functional initiatives spanning finance, HR, legal, and operations as needed.
- Contribute to a positive, collaborative team culture and bring a continuous-improvement mindset to everything you touch.
What we're looking for
- 1 to 3 years of experience as a project coordinator or junior project manager, ideally in technology, SaaS, professional services, or consulting.
- Bachelor's degree in Business, Engineering, Communications, Project Management, or a related field.
- Exceptional organizational skills and a strong sense of ownership — you keep multiple workstreams on track without dropping the ball.
- Resourceful and self-starting — you figure things out, ask the right questions, and find a way to get to "done."
- A genuinely curious mindset — you seek to understand the real problem behind the brief, not just the task in front of you.
- Strong written and verbal communication skills in both English and French.
- Proficiency with project management tools (Asana strongly preferred; experience with Jira, Monday, or similar is a plus).
- Solid working knowledge of Microsoft 365 (Excel, PowerPoint, Word, Outlook) and Google Workspace.
- High attention to detail and consistent follow-through.
- Comfort working in a fast-moving, ambiguous environment with shifting priorities.
- Positive attitude, low ego, and a genuine desire to grow with a disruptive AI company.
- Exposure to AI, machine learning, or enterprise software delivery projects.
- Hands-on experience administering Asana (custom fields, rules, portfolios, reporting).
- Familiarity with HubSpot, Rippling, QuickBooks Online, or similar SaaS operations tools.
- PMP, CAPM, PSM (Scrum Master), or other PM-related certifications.
- Experience supporting cross-border teams across Canada, the US, and the UK.
- Background in a client-facing implementation, delivery, or customer success role.
