What we are looking for:
We are looking for a key resource in achieving the objectives of our Global Chief Financial officer, Lucas Pontillo, and his leadership team. The successful candidate will have administrative management, business support, and general communications responsibilities as well as overseeing the day-to-day administrative responsibilities of the Finances department. This key position requires a proactive, multi-tasking individual with a strong sense of responsibility and initiative. Bound by absolute confidentiality, this trustworthy person will need to understand business needs quickly and adapt to various contexts involving diverse stakeholders. Your responsibilities:
Provide high-quality administrative and operational support to the Global Chief Financial Officer and his leadership team;
Screen, write and coordinate inbound and outbound communications and act as the primary contact to the CFO;
Act as a trusted support resource and coordinate all activities required to meet the demands of ongoing priorities, including agenda management;
Coordinate meetings, write reports, and keep agendas and priorities up to date;
Utilize PowerPoint to create visually appealing presentations, with an artistic flair;
Coordinate business travel for leadership team as needed;
Contribute to the efficiency of deliverables by coordinating all logistics and by proposing innovative ways to use administrative support technology (SharePoint, Share Drive, collaboration tools, and others);
Approval of all department invoices;
Liaise with internal stakeholders such as IT and HR for employee related matters (e.g. onboarding new employees);
Perform any other tasks related to the nature of your duties.
Must have requirements to be successful in this role:
Post secondary education in administrative studies, office management or any other relevant field;
Prior experience in a similar executive assistant position;
Networking skills and a strong sense of tact and diplomacy while ensuring quality service delivery;
Being highly autonomous and having considerable initiative and a keen sense of versatility;
Strong sense of responsibility and pride in a job well done;
Excellent ability to understand issues, problem-solve and be highly adaptable;
Strong business acumen and ability to work in a fast-paced, multi-tasking environment;
Excellent communication skills, a high level of professional discipline, and a reputation for being diplomatic;
Exceptional organizational and time-management skills and a sustained ability to prioritize work and make informed decisions;
Mastery of the Office Suite (Excel, Word, PowerPoint, and Outlook) tools and the technological tools in administrative support;
Bilingual in English and French an asset.
This position requires being in the office 5 days a week.
