About This Role
Position Profile:
- Provide high-level administrative and operational support to the executive team, staff, and the CFO’s assistant as needed.
- Screen, draft, and coordinate incoming and outgoing communications, acting as the primary point of contact for the team.
- Serve as a trusted support resource, coordinating all necessary activities to meet ongoing priority requirements, including calendar management.
- Coordinate meetings, draft reports, and maintain agendas and priority lists.
- Manage the finance department’s email inbox, screen calls, and forward messages to the appropriate individuals.
- Coordinate travel arrangements and related expense reports.
- Oversee assigned projects and special events.
- Book conference rooms as needed.
- Prepare the department's annual budget and ensure monthly monitoring.
- Create Excel spreadsheets, draft and proofread letters in Word.
- Design visually appealing PowerPoint presentations with an artistic touch.
- Handle confidential documents for the department.
- Perform any other related duties as requested.
Qualifications:
- College or vocational diploma in secretarial studies, or an equivalent combination of education and experience.
- Five years of experience as an executive assistant.
- Strong networking skills and a keen sense of tact and diplomacy, combined with a commitment to high-quality service delivery.
- Highly autonomous, with a strong sense of initiative and well-developed versatility.
- Strong sense of responsibility and pride in delivering high-quality work.
- Excellent problem-solving skills, with the ability to understand complex issues and adapt quickly.
- Sharp business acumen and the ability to thrive in a fast-paced, multitasking environment.
- Outstanding communication skills, a high level of professional discipline, and proven diplomatic abilities.
- Exceptional organizational and time management skills, with a consistent ability to prioritize tasks and make informed decisions.
- Proficient in Microsoft Office Suite (Excel, Word, PowerPoint, and Outlook) and other administrative support technologies.
- Excellent verbal and written communication skills in both French and English.
