Job Summary


The Departmental Co-ordinator serves as the operational hub for the Arts, Variety, Factual and Sports Programming department. Acting as the primary link between content teams, production crews and external partners, you will ensure seamless communication and logistical co-ordination. You will closely monitor daily operations to maintain an efficient and structured work environment.


Key Responsibilities:


Co-ordination and Oversight

  • Manage the flow of information and work material between internal teams and external partners (producers, freelancers, etc.).
  • Oversee the department’s activity calendar to ensure all production and broadcast deadlines are met.
  • Develop and maintain up-to-date tracking tools (assignment trackers, guest lists, databases) to provide clear oversight of project progress.
  • Lead production logistics for special broadcasts and major events (awards galas, Olympics, etc.), managing equipment requirements and on-site team needs.

Team Organization and Efficiency

  • Meeting Facilitation: Structure team meetings by preparing agendas, co-ordinating schedules and ensuring diligent follow-up on action items.
  • Workflow Optimization: Identify and implement simplified, more efficient methods for managing ongoing projects and workflows.
  • Deliverables Management: Co-ordinate show summaries, industry award submissions and technical access permissions.

Logistical and Administrative Support

  • Oversee general administrative functions, including expense reports, onboarding new collaborators and basic budget tracking.
  • Support the team in using internal tools and act as the first point of contact for basic IT and technical needs.

This is a hybrid role with a mix of in-office and remote work. Work arrangements will be discussed with hiring managers per departmental guidelines.


Job Requirements:


Qualifications:

  • College degree in communications, media production (TV, film, digital), administration or a related field.
  • Three (3) to five (5) years’ experience in production co-ordination, event management or a central operational role within a broadcasting or content creation environment.
  • Experience in a television production environment is an asset.
  • An equivalent combination of education and relevant experience will be considered.

Skills:

  • Superior organizational skills and ability to manage multiple competing priorities.
  • High level of thoroughness and attention to detail when tracking complex projects.
  • Team mindset with the ability to facilitate communication between diverse stakeholders.
  • Proactive, independent approach with the ability to anticipate logistical needs before they arise.
  • Familiarity with the Canadian creative, television and/or digital media industries is an asset.
  • Proficiency with collaborative and management tools (e.g., Google Workspace and internal tools).
  • Excellent command of spoken and written French.
  • Good knowledge of English will be considered is an asset.
  • Availability to work flexible hours during peak production periods or special events.
