Nous recherchons une personne énergique, organisée et professionnelle pour assurer le soutien à la réception ainsi qu’aux activités de bureau au sein des opérations d’une entreprise de services immobiliers commerciaux dans la région de Montréal. Le ou la titulaire du poste travaillera en étroite collaboration avec le gestionnaire des opérations, le directeur principal ainsi que les courtiers, afin de fournir un soutien administratif efficace et de contribuer à la mise en œuvre d’initiatives stratégiques.Description du poste:

    Responsabilités principales

    Opérations du bureau

    • Fournir un soutien administratif au leader du marché et/ou à d’autres responsables de département

    • Entrer les rapports de dépenses

    • Rédiger la correspondance courante, saisir des données, imprimer des lettres et des étiquettes, créer des modèles de documents et mettre en forme des fichiers

    • Soutenir les opérations de la salle de courrier (ex. : tri du courrier, affranchisseuse, télécopieur, photocopieurs)

    • Aider à la planification et à la coordination des déplacements de base

    • Organiser et soutenir les réunions et événements internes, au besoin

    • Coordonner les services de traiteur, la réservation de salles de réunion, l’envoi d’invitations et autres activités liées à l’organisation d’événements

    • Veiller au respect des politiques de l’entreprise

    • Traduction de documents (de l'anglais vers le français)

    Accueil des visiteurs

    • Gérer la réception en accordant l’accès à l’édifice (au besoin) et en avisant les employés de l’arrivée d’un client, fournisseur ou candidat

    • Communiquer avec le personnel des opérations, les courtiers et le leader du marché concernant leur disponibilité

    • Fournir un laissez-passer ou une validation de stationnement sur demande

    Gestion des fournisseurs et administration

    • Gérer l’approvisionnement et l’entretien des fournitures et équipements de bureau (mobilier, équipement informatique, téléphones, services de collations, plantes, etc.), via Workday, les services d’approvisionnement ou des fournisseurs externes

    • Saisir les nouveaux fournisseurs locaux dans Workday et nettoyer les données, au besoin

    Gestion des appels

    • Répondre et filtrer tous les appels entrants pour deux bureaux et transmettre les messages

    • Communiquer des informations générales sur l’entreprise

    • Collaborer avec le personnel des opérations, les courtiers et le leader du marché

    • Traiter certains appels avec discrétion, à la demande du personnel des opérations, des courtiers ou du directeur principal

    Autres tâches administratives

    • Collaborer avec le gestionnaire des opérations sur les questions de continuité des activités

    • Aider à l’intégration des nouveaux employés

    • Commander des cartes professionnelles

    • Préparer des documents (révision, impression, reliure)

    • Effectuer toute autre tâche connexe

    Supérieur hiérarchique

    Le poste relève du gestionnaire des opérations.

    Formation et expérience requises

    • Diplôme collégial préféré

    • Bilingue français/anglais, avec compétences de base en traduction un atout

    • Excellentes compétences en communication écrite et orale dans les deux langues

    • Minimum de 2 à 4 ans d’expérience en soutien administratif

    • Expérience à la réception un atout

    Compétences

    • Capacité à suivre des instructions et des procédures

    • Capacité à interagir et communiquer efficacement avec tous les niveaux du personnel et de la direction

    • Excellentes aptitudes de communication écrite et orale

    • Solides compétences avec la suite Microsoft Office; connaissance de Workday un atout

    • Bonne connaissance des tâches administratives de bureau

    • Bon jugement, tact et discrétion

     

    Key responsibilities

    Office Operations

    • Provide administrative support duties for Market Leader, and/or other department leaders-
      • Enter expense reports
      • Complete routine/correspondence, enter data, print letters, print labels, create form letters, format documents, and input data
    • Support mail room operations (i.e., mail sorting, postage machine, fax and copy machines)
    • Assist in planning and coordination of basic travel arrangements
    • Organize and assist internal meetings and events as required
    • Coordinate catering, conference room space, invitations, and other event planning activities as needed
    • Ensure company policies are followed
    • Support document translations (English to French)

    Greet / Direct All Visitors

    • Manage front desk by providing building access (when required) and notifying the employees that client, vendor or job candidate has arrived
    • Communicate with operations staff, brokers, and Market Leader regarding their availability
    • Provide parking pass/validation per request

    Vendor Management / Administration

    • Manage purchasing and maintenance of office supplies and office equipment (i.e., furniture, IT equipment, telephones, snack services, plants, etc.) by ordering through Workday, procurement, or outside vendor
    • Enter all new local vendors into Workday and cleanse data, if required

    Manage Phones

    • Answer and screen all incoming calls and relay messages for 2 offices
    • Communicate general company information
    • Communicate with operations staff, fee-earners, and Market Leader
    • Handle calls with discretion per the request of the operations staff, fee-earners, and Managing Principal

    Other Administrative Duties

    • Work with Operations Manager on business continuity issues
    • Assistance with onboarding new employees
    • Order business cards
    • Document preparation (review, print, bind)
    • Other duties as assigned

    Reporting relationship- Role will report to the following:

    • Operations Manager

    BACKGROUND AND EXPERIENCE-

    Demonstrated experience should include:

    • College degree preferred
    • Bilingual French/English, basic English-French translation skills an asset
    • Very good written and oral communication skills in both languages
    • A minimum of 2-4 years of administrative support experience
    • Front desk experience a plus

    Competencies

    • Ability to follow instructions and procedures
    • Ability to deal and communicate effectively with all levels of staff and management
    • Strong written and oral skills
    • Strong Microsoft Office Suite skills, Workday knowledge an asset
    • Knowledge of office administrative duties
