Description

The Contract Administrator supports the contract management team by executing a variety of contract-related activities involving low-complexity agreements. This role is primarily responsible for drafting, reviewing, routing, tracking, and maintaining contract documentation while ensuring compliance with corporate policies, applicable laws, and customer requirements. The position also contributes to continuous improvement initiatives aimed at streamlining contract workflows and enhancing documentation practices. This is a role designed to support Contract Managers with administrative and coordination tasks in a fast-paced environment.

Key responsibilities include:

  • Prepare, review, and process low-complexity agreements such as Non-Disclosure Agreements (NDAs), consulting agreements, COTS agreements, and standard supply agreements

  • Coordinate the review of shipment handover documentation

  • Maintain accurate and up-to-date contract files, records, logs, and tracking reports

  • Ensure contract templates and clause libraries are used correctly and consistently

  • Monitor contract expiry dates and support standard renewal processes

  • Support the preparation of purchase order documentation, contract amendments, and administrative contract updates

  • Collaborate with senior contract management, legal, business development, operations, and finance teams

  • Participate in proposal preparation, customer correspondence, and liaison activities

Process & Continuous Improvement:

  • Identify opportunities to streamline contract intake, routing, approval, and archival processes

  • Support the documentation of standard operating procedures (SOPs), workflows, and tools

  • Assist with the implementation, maintenance, and use of contract management systems (CMS/CLM tools)

  • Participate in team initiatives focused on improving efficiency, compliance, and reporting

Compliance & Governance:

  • Ensure contracts are administered in accordance with corporate contracting policies, delegations of authority, approval frameworks, applicable laws, regulations, and customer requirements

  • Support audit and compliance activities by providing contract documentation and data as required

  • This role offers exposure to a high volume of defense-related contracts and provides a strong learning opportunity within a team of highly experienced professionals.

Minimum Qualifications

  • Diploma or Bachelor’s degree in Business Administration, Commerce, Law, Public Administration, Legal Studies, or a related field, or equivalent practical experience

  • Minimum of 2 years of experience in contract administration, legal operations, procurement, or another document-heavy administrative role (co-op or internship experience will be considered)

  • Strong attention to detail and accuracy in reviewing contractual documents

  • Strong organizational and time management skills with the ability to prioritize multiple requests

  • Basic understanding of contract structures and common contractual terms

  • Strong written and verbal communication skills

  • Proficiency with Microsoft Office tools (Word, Excel, SharePoint)

  • Ability to work independently and collaboratively in a fast-paced environment

  • Ability to multitask, learn quickly, and demonstrate resourcefulness

Preferred Qualifications

  • Bilingualism (English and French)

  • Prior exposure to defense, aerospace, or highly regulated environments

  • Experience working with contract management systems (CMS/CLM tools)

  • Internship or early-career experience in a legal or contract-focused role
