Job Title: Communications Assistant B (Marketing Project Assistant)
Supervisor: Associate Director, Digital and Brand Experience
Salary: 16.85 + 4% vacation
Classification: B
Estimated Number of Hours: 15 per week
Start and end date of employment: June 15, 2026 to August 29, 2026
Position Summary
Under the direction of the Associate Director, Digital and Brand Experience, the incumbent provides administrative and coordination support to the University Advancement Communications team in the teams planning and implementation of marketing and communications initiatives.. The role will collaborate with cross-functional teams, help manage project timelines, and ensure campaigns are implemented efficiently and on schedule.
Typical Functions
Assists with the coordination and tracking of marketing and communications projects, including maintaining project plans, timelines, and progress trackers.
Schedules meetings, prepares agendas, and records and distributes meeting notes and documentation.
Tracks and follows up on action items to support timely completion of projects.
Liaises with clients and members of the University Advancement
Communications team to gather updates and ensure alignment on deliverables.
Compiles and updates project-related information in collaboration tools (e.g., Teamwork) to ensure accuracy and completeness.
Assists with content upkeep, including maintaining resource accounts and supporting updates to online materials.
Assists with meetings, events, and project-related activities as required.
Compiles and maintains project documentation, data, and reports as needed.
Performs basic review and editing of communications materials and provides administrative support to communications initiatives.
The list of functions outlined above is representative and not a complete and detailed list of tasks which may be performed by an incumbent. For example, incumbents may be asked to perform some elements of Communications Assistant level “A” tasks in addition to the above listed function
Other Qualifying Skills and/or Abilities
Ability to support multiple projects simultaneously, track timelines, and ensure deliverables are completed on schedule.
Familiarity with Microsoft Office (Excel, PowerPoint, Word) and openness to learning new project management tools (e.g., Teamwork) is an asset.
Curiosity about marketing, communications, or digital media (prior experience not required).
Organization and time-management skills Solid command of the English language; Intermediate French (written).
Must be currently enrolled in a Bachelor's Degree at McGill University
