SUMMARY  

Working in conjunction with the Directors, the Project Controls Officer serves as the Centre of Expertise for research, analysis and building of accurate business and operational requirements for the program/project deliverables. Principal contact for the development of the assigned project within the Brookfield GIS Dashboard Program including end to end adherence to program governance. Responsible for comprehensive validation activities and supports the overall implementation plan for applicable program requirements.
 

KEY DUTIES & RESPONSIBILITIES  

Subject Matter Expert

  • Subject Matter Expert is accountable for gathering, building and defining accurate business requirements for the program of annual project initiatives with focus on end to end operational/fulfilment process efficiency and effectiveness. 

Analysis & Accountability 

  • Utilize resource dashboard and resources to dive deep into the identified strategy and scope for the annual initiatives. Complete cause and effect analysis and recommend sound operational/fulfilment process resolution for the assigned initiative. 
  • Proactively identify innovative opportunities to enhance the BGIS deliverables related to client experience, employee experience and business/process efficiency and effectiveness. Understand full impact of end to end business process and balances converging forces of superior client experience and business results accordingly. 
  • Responsible for clear, concise and accurate completion of detailed documentation, process maps and operating guidelines/Job Aids for assigned initiative facilitating smooth transition and making it easier for employees to perform duties. 
  • Validate/test functionality and interdependencies of the end to end process with concerned parties and the overall client experience. Acts immediately on change requirements to ensure initiative is on time, on budget and within scope.
  • Alongside the project team(s) record Issues and Risks, track and file the recommendation and approval of all Gate Artefacts, Program Change Records, Project Commitments, Change to Project Commitments and Decision Requests.
  • Oversee the loading of the Capital Plan in RP and PM communications 
  • Draw on in-depth process knowledge and keen operational mindset to ensure regulatory/compliance reporting requirements are met and incorporated within the application process therein, mitigating operational risk factors. 

 

Learning & Development

  • Responsible for developing and conducting training workshops for BGIS staff, and in some instances CIBC staff. Basically, anyone who may be involved in the delivery of BGIS projects. Once initial training has been completed, introduce a quarterly feedback loop that constantly is looking for efficiencies. Standardize templates
  • Provide Regional training and reporting – some travel required

KNOWLEDGE & SKILLS 

  • College Diploma in related field
  • 2-3 years experience in a Program Management Office or similar capacity 
  • Strong written and verbal communication skills.  
  • In-depth working knowledge of BGIS fulfilment applications, systems and tools, which generate information relative to customer service and operational efficiency. 
  • Excellent aptitude for organizing and prioritizing. 
  • Excellent skills in MS office, specifically Excel, Power Point, Word, 
  • Excellent analytical skills 
  • The ability to work independently as well as part of a team, showing initiative and proactively. 
  • Advanced project scheduling knowledge/skills
  • MS Project/ EPM, 
  • Knowledge of PMO, Execution Assurance best practices
  • Knowledge of Construction Project Services best practices
  • Construction administration experience would be an asset
  • Agile method for business requirement gathering resources is an asset

Licenses and/or Professional Accreditation

  • PMP/PMA certification considered an asset.  

This is a regular, full-time position with a salary range of $63,397 - $79,246 per annum. The starting salary will be based on the successful candidate’s competencies, including but not limited to experience, education, professional designations and performance related to this role.
