ABOUT THE ROLE

As the Senior Specialist, Legal Operations, you will play a key role in shaping a modern, data‑driven, and efficient in‑house legal function. You will lead initiatives in process improvement, legal technology, financial and vendor management, risk and compliance support, and team enablement. Working closely with the General Counsel and senior legal leaders, you will help enhance how the legal team operates and delivers value to the business.

Your primary responsibilities will include:

Operational Strategy & Process Improvement

  • Design, implement, and continuously refine legal workflows, including intake, triage, document management, templates, and playbooks.
  • Develop and maintain a legal operations strategy aligned with business and regulatory needs.
  • Establish KPIs and metrics to track performance and drive improvements.
  • Lead the centralization and optimization of legal document management systems.

Financial & Vendor Management

  • Oversee budgeting, forecasting, spend analysis, and financial reporting for the legal department.
  • Monitor internal and external legal spend to ensure efficiency and value.
  • Manage relationships with outside counsel and legal service providers.
  • Support contract negotiation and vendor governance in collaboration with Finance and Corporate Legal.

Technology, Data & Knowledge Management

  • Evaluate, select, implement, and optimize legal technology solutions.
  • Drive adoption of legal AI and workflow automation tools.
  • Develop dashboards and analytics on workload, cycle times, spend, and risk.
  • Build and maintain a legal knowledge management framework.
  • Support legal team training and change adoption for new tools and processes.

Risk, Governance & Compliance Support

  • Maintain the legal risk register, internal controls, and support audit responses.
  • Ensure processes support regulatory frameworks (e.g., financial services, conduct rules, data protection).
  • Assist in risk and compliance reporting to senior management and regulatory bodies.
  • Support legal governance structures and business continuity documentation.

Change Management & Stakeholder Engagement

  • Lead change initiatives for new processes, technologies, and service delivery models.
  • Build strong relationships with Finance, Risk, Technology, and the wider business.
  • Deliver training and communication materials to drive engagement and adoption.
  • Act as a trusted advisor and subject matter expert on legal operations, process optimization, and legal technology.

PRIMARY QUALIFICATIONS & SKILLS

  • Minimum 5–8 years’ experience in legal operations, legal project management, or related roles (ideally within a regulated financial services environment).
  • Strong expertise in legal process improvement, financial management, and vendor/outsourcing oversight.
  • Demonstrated experience managing complex initiatives and delivering measurable improvements.
  • Strong communicator who can engage and influence stakeholders at all levels.
  • Solid financial acumen, including budgeting, forecasting, and spend analysis.
  • Proficiency with legal technology platforms (DMS, matter management, CLM, e‑billing, analytics tools).
  • Strong data analysis skills and experience with reporting or BI tools (e.g., Excel, Power BI, Tableau).
  • Knowledge of legal operations best practices (e.g., CLOC 12 Core Competencies).
  • Familiarity with legal AI tools and prompt-based efficiency workflows is a plus.
