Scheduling Manager

Full time - Permanent Position

Job Role:

CGS is seeking an experienced Scheduling Manager to join our instructional delivery services team.

The Scheduling Manager leads a team of Instructional Delivery Schedulers whose collective role is foundational to the operational effectiveness of the plasma center technical training program. The scheduling team is responsible for the end-to-end coordination of training logistics, including session scheduling, learner enrollment, instructor assignment, roster management, training record maintenance, and compliance documentation to ensure that every training session is organized, communicated, and executed without disruption.

The Scheduling Manager and their team work in close coordination with the Virtual Instructor Supervisors to align faculty availability with session demand, with the Content Manager to ensure training materials are staged and accessible ahead of each session, and with the Operations Manager to support program-level planning, reporting, and continuous improvement. As Scheduling Manager, you will set the standards, build the processes, and develop the team capabilities that keep instructional delivery running at scale.

Responsibilities:

  • Lead, mentor, and manage a team of Instructional Delivery Schedulers, providing day-to-day direction, workload oversight, professional development support, and performance evaluation.
  • Develop, implement, and continuously refine scheduling policies, procedures, and standards to ensure consistent, efficient, and compliant training delivery operations across the program.
  • Serve as the primary point of escalation for scheduling conflicts, logistical issues, and stakeholder concerns, resolving matters promptly and communicating resolutions clearly.
  • Oversee the scheduling and logistics of all virtual instructor-led training sessions, including session setup, learner enrollment, instructor assignment, calendar management, and change notifications.
  • Collaborate with Virtual Instructor Supervisors to align faculty availability with session schedules, manage instructor load, and ensure adequate coverage across all training cohorts.
  • Partner with the Content Manager to confirm that training materials, resources, and learning objects are staged, accessible, and current ahead of each scheduled session.
  • Maintain oversight of training records, attendance documentation, and GxP compliance reporting, ensuring all records are accurate, complete, and audit-ready in accordance with established procedures.
  • Communicate effectively with instructors, learners, and stakeholders, including client-side process excellence and technical training operations contacts, to ensure all parties are informed and aligned on training plans, schedules, requirements, and changes.
  • Track and report on scheduling performance metrics and KPIs, presenting program-level insights and recommendations to the Operations Manager.
  • Support the development and implementation of technology solutions, including scheduling software and LMS configuration to streamline operations and enable program scalability.
  • Lead continuous improvement initiatives within the scheduling function, incorporating feedback from instructors, learners, and delivery administration stakeholders.

Qualifications:

  • A bachelor's degree in Business Administration, Communications, Education, or a related field. Relevant experience may substitute for formal education.
  • 5+ years of experience coordinating or managing training programs, events, or similar activities, with at least 2–3 years in a supervisory or team lead capacity.
  • Demonstrated leadership ability, with experience managing, coaching, and developing a team of scheduling or administrative coordination professionals.
  • High proficiency in the use of:
    • Scheduling and planning software for centralized management of class rosters, instructor assignments, learner enrollment, and training calendars.
    • Microsoft Excel to collect, analyze, and report on structured data used across scheduling and program performance tracking.
  • Moderate proficiency in MS Word, MS PowerPoint, MS OneNote, and MS SharePoint.
  • Excellent communication and interpersonal skills, with the ability to engage effectively across all levels from frontline learners and instructors to client-side senior stakeholders.
  • Strong organizational and multitasking skills with a keen attention to detail and the ability to manage competing priorities across a high-volume, fast-paced training program.
  • Proficiency with learning management systems (LMS) required; experience with enterprise LMS platforms in a regulated training environment is strongly preferred.
  • Excellent project management skills with the ability to design and oversee scalable scheduling processes across multiple concurrent training tracks.
  • Certification in project management (PMP, CAPM) or a related discipline is a plus.

Salary: 

  • Competitive salary: 50-000 – 70,000 CAD Annually.

CGS evaluates compensation individually for each selected applicant. Final salary placement within our established parameters is based on multiple criteria, including regional market rates, internal equity considerations, cost-of-living geography, and candidate-specific attributes like professional experience, education, and technical skill sets.
