Provides administrative and operational support to the delivery of financial and investment planning and advice to deliver an exceptional customer experience. Works collaboratively within the assigned team / branch and with business partners.

Primary tasks in a summary

Execute operations in client portfolios
• Carry out transactions (purchases, sales, adjustments) based on advisor or client instructions.
• Ensure accuracy, timeliness, and compliance in every operation.

Analyze daily reports and data
• Review daily reports to identify anomalies, discrepancies, or required follow‑ups.
• Ensure positions, flows, and activities are up to date and consistent.

Open and maintain client accounts
• Prepare and complete account openings (new relationships, registered accounts, trust accounts, etc.).
• Perform regulatory updates and KYC information maintenance.

Prepare client meetings and administrative materials
• Gather required documents (portfolio summaries, mandates, annual reviews, forms).
• Manage meeting logistics: scheduling, confirmations, printed or digital materials.

Process transfers and fund movements
• Execute fund transfers between accounts (internal or external).
• Ensure deadlines, procedures, and mandatory validations are respected.

Ensure compliance and regulatory updates
Maintain accuracy and completeness of client files, verify required documents, apply compliance rules, and perform necessary updates.

Provide administrative service to clients
• Respond to administrative inquiries by phone and email, follow up on requests, and support the team in daily operations.

Perform other related administrative tasks
• Contribute to the team’s operational needs: organization, internal coordination, document management, and general administrative support based on current priorities.

The ideal candidate for this role is detail‑oriented, well‑organized, and strongly customer‑service‑focused. They must be able to manage multiple tasks simultaneously while maintaining a high level of accuracy in transactions, analyses, and file updates. They have a solid understanding of financial operations, a constant attention to compliance requirements, and excellent communication skills with clients. Finally, they demonstrate autonomy, sound judgment, and a collaborative mindset, and they adapt easily to various related tasks according to the team’s needs.

Qualifications

  • Typically between 2 - 3 years of relevant experience and post-secondary degree in related field of study or an equivalent combination of education and experience.
  • Basic knowledge of investment process and procedures.
  • Basic knowledge of proprietary products and services in order to identify potential products and services to client needs and advise members of the team.
  • Verbal & written communication skills - Good.
  • Organization skills - Good.
  • Collaboration & team skills - Good.
  • Analytical and problem-solving skills - Good.

Salary:

$38,500.00 - $71,000.00

Pay Type:

Salaried

Salaries will vary based on factors such as location, skills, experience, education, and qualifications for the role, and may include a commission structure. Salaries for part-time roles will be pro-rated based on number of hours regularly worked. For commission roles, the salary listed above represents BMO Financial Group’s expected target for the first year in this position.

BMO Financial Group’s total compensation package will vary based on the pay type of the position and may include performance-based incentives, discretionary bonuses, as well as other perks and rewards.
