JOB DESCRIPTION

Join nesto – proudly named Canadian Rocketship 2025*. A Deloitte Fast 50 company evolving alongside Canada’s top tech innovators and disrupting a 2.1 Trillion-dollar mortgage industry at light speed by building the mortgage ecosystem of the future.

BUILD lending technology with the best developers, AI engineers, and mortgage experts in the country. Work on a modern tech stack and a development framework designed to unlock your full potential and accelerate your career.

About Us

Founded in Montreal in 2018, nesto is a leading Canadian fintech on a mission to provide an empowering, transparent, and simplified property financing experience. We evolved from a digital broker into Canada’s premier online mortgage lender, where our experts are supported by advanced technology. Since then, we have expanded into a "mortgage ecosystem" builder, partnering with large financial institutions nationwide.

A key milestone occurred in 2022 with our first B2B product launch for IG Wealth Management, alongside a Series C funding round. In 2024, nesto acquired CMLS to form the Nesto Group, significantly increasing our scale to 1,250 employees across 12 offices and $73 billion CAD in assets under administration. You will work on Nesto Cloud, Canada’s most advanced platform delivering end-to-end technology solutions for lenders in the digital age.

Why We Are Hiring

Our Nesto Cloud partner ecosystem is moving fast, and our Client Delivery and SaaS Operations teams are managing more moving parts than ever. This is a newly created role designed to be a key enabler for the department. While this role reports to the PMO, you will also provide support to the broader Client Delivery team, including SaaS Operations. We aren't looking for someone to just follow a manual; we need a builder who will help us write it.

About This Role

As our PMO (Delivery) Coordinator, you play a vital role in ensuring the PMO and broader Client Delivery team can operate at their highest potential. This is an enablement- focused position designed to provide direct assistance across the department, ensuring that Project Managers and SaaS Operations leads have the support they need to work efficiently. Whether you are managing complex logistics, coordinating partner schedules, ensuring tool integrity, or creating professional decks, your work directly unlocks the team's capacity.

Work Location, Time Zone, and Availability

This is a remote-first role open to candidates across Canada. While you have the flexibility to work from home or from any of our offices (including Montreal, Quebec City, Calgary, Toronto, and Vancouver), we primarily operate on Eastern Time (EST). To effectively collaborate with our Toronto and Montreal hubs and our national enterprise clients, you should be available during core business hours (9:00 am – 5:00 pm EST).

What Success In This Role Looks Like

  • In 3 months: You have established a firm understanding of our current state, technologies, and team. You understand our needs and have prioritized them with plans to address each one.
  • In 6 months: You have calmed the chaos behind the scenes through structure, centralization, support, and clarity. You have your eyes on the key pieces and catch things from falling through the cracks. Your contributions have generated material benefits to the team by flexing your organization and coordination skills.
  • In 12 months: Within the scope of your role, you have established a foundation of processes and best practices with supporting documentation. You are an expert on our internal tech stack and have automated processes for standardization and efficiency.

What You’ll Be Doing

  • Process Building: As the first in this role, you will design and document the standards for how we coordinate meetings, book travel, maintain alignment between tools, capture internal plan changes, and manage tasks.
  • Team Support & Transparency: Leverage tools and workflows to manage internal team actions and follow ups to ensure things don’t fall through the cracks.
  • Scheduling & Coordination: Assist Delivery Team members, including Project Managers and Leadership, with complex calendar management and client meeting coordination. This may range from ad hoc availability to broader on site event planning.
  • Brand & Content Mastery: Create and polish slide decks/documents for client and internal use, ensuring every file is on-brand, high-impact, and professional; Leverage internal assets and create reusable templates for Delivery team use.
  • Tool & Task Administration: Maintain the integrity of the Jira-to-Wrike integration. You will create and manage tasks in Wrike with direction, ensuring our "source of truth" is always accurate.
  • Facilitate Client Billing: Own the operational management of the billing process from timesheet governance and reminders through audit, classification, and reporting. Partner with internal teams to reconcile discrepancies and ensure validity. Maintain tracking of invoice statuses in partnership with Finance for enhanced visibility.
  • The "Balanced" Workload: Once established, your role will be a dynamic split between predictable daily operations and "mini-projects" aimed at supporting team efficiency, data health, and special delivery needs.

What We Are Looking For

  • The Builder Mentality: You don't just execute tasks; you look for ways to make them repeatable and scalable. You thrive in the ambiguity of a newly created role.
  • Technically Savvy: You are a GSuite power user (Slides, Sheets, Docs) and thrive when navigating between multiple technical tools like Jira and Wrike. You see the opportunity in leveraging AI tools and know how to leverage them for optimized outcomes.
  • The Generalist: You are organized, detail-oriented, and comfortable wearing multiple hats—from travel agent to deck designer to tool administrator.
  • Professional Communicator: You can confidently navigate internal teams and external client stakeholders with equal poise and clarity.
  • Ambition for Growth: You crave knowledge across all PMO and Delivery functions. This role is ideally suited for growth and future career development.

(Strongly) Preferred But Not A Must

  • Direct experience using GSuite, Wrike, and Jira.
  • Experience in a PMO or SaaS Operations environment.
  • Experience in a startup or "high-growth" phase where you had to build your own processes from scratch.

You Shouldn’t Apply If

  • You prefer a role with a 100% pre-defined checklist of tasks.
  • You find "building from scratch" stressful rather than exciting.
  • You are easily overwhelmed by conflicting priorities.
  • You are uncomfortable providing administrative support to a wide variety of team members.

Interview Process

  • Talent Screen: 30-minute chat with our Recruitment team.
  • Hiring Manager Interview: A deep dive into your "builder" mentality and organizational experience.
  • Case Study Exercise: A short task to demonstrate your critical thinking and tactical skill sets.
  • Culture & Values Fit: A final conversation, or “vibe check”, to ensure alignment with our team culture and company mission.

What We Offer

  • Comprehensive Health Coverage: Top-tier Extended Health, Dental, and Vision coverage, featuring 100% drug coverage.
  • Health & Wellness Spending Account: A $1,500 combined annual flex fund for things like gym memberships or extra medical needs.
  • Generous Paid Time Off: 4 weeks of vacation plus 8 personal floater days.
  • Retirement Savings: Access to a Group RRSP/DPSP plan featuring competitive company-matching contributions.
  • Telemedicine Services via Dialogue and coverage for Licensed Practitioner Services.
  • Family Support: Parental Leave Top-Up Programs provided for Maternity & Parental Leave.
  • Flexible Work: The possibility to work fully remote or work from one of our offices in Montreal, Quebec, Calgary, Toronto, Vancouver, and more!

Why Join Us

  • Hypergrowth: Deloitte Fast 50 – 3 years in a row
  • Tech community credibility: TechTO Canadian Rocketship 2025*
  • Industry leadership: CLA Lending Company of the Year – 4 consecutive years
  • Talent magnet: CMP Top Mortgage Employer 2025.
  • Trusted technology: powering major financial institutions across Canada.
  • An entrepreneurial culture built on trust, speed, uncomfortable ambition, being stronger together, and a relentless obsession with our clients.
