Job Purpose
The Operations Manager, Juniors & Group Programmes, is responsible for both leading seasonal staff teams and managing the detailed logistics that ensure our Junior and Group Programmes run smoothly.
 
This is a highly hands-on operational role that combines day-to-day scheduling, timesheet tracking, accommodation and budget management with student welfare, client satisfaction, and program quality.

Main Duties and Responsibilities
Operational & Logistical Management
  • Coordinate accommodation, meals, transportation, academic, and activity schedules across multiple programme locations in North America (Vancouver, Toronto, New York, Halifax, LA, Florida and San Francisco)
  • Manage programme budgets, including forecasting, tracking, and expense approvals
  • Lead centre set-up, preparation, and closure, ensuring materials, equipment, schedules, and bookings are in place
  • Organise and oversee transfers, including coach and taxi bookings, and assign staff to transfers
  • Generate quotes and support the sales team as a programme lead when required
  • Ensuring compliance with all local health and safety regulations and accreditation standards

Staff Recruitment, Training & Management
  • Recruit, train, induct, and manage seasonal staff teams.
  • Oversee staff scheduling and timesheet tracking, ensuring accurate reporting for payroll
  • Provide ongoing supervision, coaching, and performance management to ensure staff deliver a high-quality student experience.
  • Allocate staff to residential accommodation blocks to maintain appropriate supervision ratios.
  • Participate in and deliver staff induction and ongoing training throughout the programme.
  • Be a visible and approachable leader, supporting staff on-site with day-to-day operational issues
Client & Programme Quality
  • Act as the main point of contact for agents, students, and group leaders, handling enquiries and problem solving promptly 
  • Liaise with host universities and college partners to ensure smooth centre operations and resolve accommodation or faculty issues
  • Ensure all correspondence (with clients, staff, partners) is handled professionally and within one business day
  • Implement client feedback procedures and take action where needed
  • Represent the organisation positively at all times with students, staff, agents, and university partners

Person Specifications
Legal status
  • Eligibility to work in Canada 
  • Eligibility to travel in Canada and the USA
  • Clear background or criminal record check

Experience and knowledge
  • Proven experience managing Junior/ESL residential programmes or similar operational environments.
  • Strong background in logistics, administration, and budget management
  • CEFR C1+ level English proficiency (spoken and written).
  • Proficiency in CLASS or similar administrative software.
  • Previous experience managing language school programmes or residential camps.
  • Valid First Aid or lifeguard certification.
  • Familiarity with UBC/TMU campus and Vancouver, Toronto, and/or Halifax attractions.
  • Experience working with 8-17 year olds.

  • Flexible, adaptable, and comfortable working in a fast-paced environment  
  • A hands-on manager who enjoys balancing people leadership with operational detail 
  • Highly organised with strong leadership and communication skills 

Personal qualities
  • Summer operations are busy, so we’re looking for someone who can be flexible and open to work weekends and overtime during peak summer months
