The Opportunity

As we continue to grow, we are looking for an Office Coordinator to join our team based in Montreal, from dcbel's head office. Reporting to the Chief of Staff, the Office Coordinator will play a crucial role in ensuring the smooth running of our office operations.

The ideal candidate is passionate about creating a positive and welcoming environment where our team can perform at their best, has a track record of wearing many hats, – and they enjoy it! If you believe you are organized, self-driven, detail-oriented, passionate about planning events and projects, and capable of managing responsibilities with minimal supervision, we want to hear from you!

Main Responsibilities 

  • Coordinate day-to-day administrative flow of office operations
  • Manage office supplies, services, and relocations as needed
  • Assist in the logistics of various internal and external engagement initiatives 
  • Negotiate and manage relations with hotels and travel agencies
  • Coordinate shipments by comparing quotes, creating commercial invoices, and following up on deliveries and creating fulfillment orders 
  • Manage requests from import/export brokers 
  • Maintain office records, documentation, and databases up to date including company CMS (Contracts Management System)
  • Manage documentation and mail, as well as the signature process from signature to filing
  • Prepare communication documents for internal or external stakeholders
  • Be the first point of contact for all staff facilities and external contractors (custodians, cleaning services, electricians, plumbers, etc.)
  • Assist employees with their booking arrangements (e.g. Airbnd, flights, hotels)
  • Assist in the execution of Compliance projects as needed

Qualifications

  • Minimum 5 years of relevant administrative support experience or equivalent
  • Adequate knowledge of office management systems and procedures
  • Tech-savvy and proficiency in Microsoft 365 (Word, Excel, PowerPoint), Outlook, Adobe Acrobat
  • Proficient communication skills in English, both written and verbal
