Position Overview

The Office Manager, NA will be a hands-on support professional who collaborates across the organization. The ideal candidate is highly organized, excels at multi-tasking, communicates effectively, works well in teams, and thrives in a fast-paced environment. Previous experience in delivering positive customer service outcomes is highly valued.

We are seeking an experienced, results-driven professional with a proven track record as an Office Manager or Administrator and a proactive, “can-do” attitude.

This role is on-site in Montréal (Pointe-Claire / Saint-Laurent), QC.

Essential Job Functions & Duties

  • Support the Site Manager with client communications, follow-ups, and access requests for maintenance activities.

  • Assist with internal and external audit preparation.

  • Plan and coordinate training sessions, site visits, and employee communications.

  • Manage service contracts, including snow removal, landscaping, janitorial, pest control, and water fountains.

  • Oversee office operations, including space assignments, office supplies, mail, shipping, and package management.

  • Handle purchase orders, contract renewals, and vendor coordination.

  • Manage PPE certifications and re-certifications (electrical gloves, harnesses, lifelines, etc.).

  • Organize internal and external events, both in-person and virtual.

  • Collaborate with IT, Facilities, Security, and other departments.

  • Manage conference room bookings, Outlook calendar support, and visitor/client badge issuance.

  • Assist with offsite meetings, hotel reservations, and meal scheduling.

  • Manage miscellaneous projects and special tasks as assigned.

Job Requirements

  • 3+ years of experience in an administrative, organizational, or detail-oriented role, such as Office Manager or Executive Assistant.

  • Highly organized, energetic, and a fast learner, with experience maintaining confidential information.

  • Excellent communication skills, including written (grammar, spelling), verbal (formal and informal), and active listening.

  • Proficient in Microsoft tools, including Outlook calendaring, with the ability to schedule, track, report, and follow up. Experience with SharePoint and Global Travel Platforms is a plus.

  • Travel is expected to be less than 5%, on an as-needed basis, but may increase over time as business needs evolve.

  • Bilingualism (French and English) is desired for this position due to the nature of the role requiring interactions with vis-à-vis across different departments and stakeholders in the US.
