POSITION OVERVIEW

 

The IT Vendor and Contract Management Specialist provides expertise in IT contract management and is responsible for managing relationships with information technology vendors, negotiating and drafting contracts, monitoring vendor performance, and ensuring compliance with contract terms and conditions.

 

They direct, organize and control the coaching, interpretation, evaluation and analysis activities related to IT contract management.  They also coordinate activities related to supplier management and ensures that technology solutions meet business needs while respecting budgets and deadlines.

 

As an IT Vendor and Contract Management Specialist, you will play a critical role in effectively managing relationships with information technology (IT) vendors and ensuring compliance with contract terms and conditions.

 

You will work closely with internal IT teams, external vendors, and business stakeholders to ensure operational efficiency, quality of service, and compliance with contractual agreements.

 

Finally, in conjunction with the internal IT teams, he draws up and monitors the schedule of the department's calls for tenders to ensure that the contract management is taken care of after the award.  It recommends and implements processes, procedures and indicators to ensure sound contract management of complex IT files.

 

CHALLENGES TO BE MET

 

Defines contract management strategies in accordance with the clauses issued in the tender documents and taking into account the particularities and issues of these contracts.

 

Provides advice and support in the contract management of IT Department files.  More specifically:


Vendor Management :

  • Identify, evaluate and select IT vendors based on business needs.

  • Maintain strong relationships with suppliers and facilitate communication between parties.

  • Monitor the performance of suppliers throughout the contract, for strategic IT files by regularly evaluating their service delivery and making recommendations to the IT team.

  • Ensures the application of the rules arising from contractual clauses;

  • Monitors consumption on contracts and price indexations when required.

  • Follows up with the Legal Affairs Department, when required.

 

Negotiation and drafting of contracts:

  • Negotiate the terms and conditions of contracts with suppliers to ensure fair and advantageous agreements.

  • Draft detailed contracts taking into account technical requirements, schedules and costs.

 

 

Follow-up and management of contracts:

  • As a business partner, coordinates contract management activities with IT managers to ensure the smooth running of processes and the distribution of contractual obligations

  • Follow up on contracts by monitoring compliance with agreed terms, deadlines, and costs.

  • Collaborate in the validation of financial projections related to IT contracts.

  • Proactively ensures the process of resolving  problems and  disputes related to contracts by involving all the necessary stakeholders in the process.  

 

Coordination and communication:

  • Coordinate with internal teams to ensure technology solutions meet business needs.

  • Communicate transparently with internal and external stakeholders on progress, challenges, and outcomes.

  • Organizes contract review meetings between applicants, suppliers and IT departments for major and strategic contracts.

 

Risk and Compliance Management:

  • During renewals, provides managers with the required updates on the progress of contracts and identifies the factors, issues and risks that may influence the renewal strategy.

  • Identify potential supplier and contract risks and implement mitigation measures.

  • Ensure that contracts comply with legal, regulatory and safety standards.

  • Recommends and implements processes, procedures and indicators associated with activities related to the management of IT Supplier and Contract Management.

 

Qualifications:

  • University degree in computer science, business management or a related field.

  • Prior experience of at least 10 years in vendor and IT contract management.

  • In-depth knowledge of information technology and contracting practices.

  • Excellent communication, negotiation and problem-solving skills.

  • Bilingual oral and written (English and French).

  • Strong organizational skills, the ability to perform under pressure and manage multiple priorities.

  • Strong analytical, financial, accounting and data processing skills.

  • Interpersonal, communication and teamwork skills.

  • Have a unifying, courageous leadership in solution mode.

  • Autonomous, logical, synthesis and analytical skills, combined with an eye for detail.

  • Positive attitude, ability to work in a fast-paced environment.

  • Customer-centric.
