The role we are offering you:
The Global Mobility Specialist is responsible for managing and ensuring compliance for business travelers crossing borders, with a focus on individual tax, immigration, and social security obligations. This role acts as a subject matter expert, strategic advisor, and operational lead for different aspects of cross-border mobility, supporting both the organization and its employees in navigating complex regulatory environments.
Key Responsibilities:
Compliance & Advisory
Advise project managers, HR business partners, and employees on deployment planning, cost estimation, and compliance obligations for short-term business travel.
Develop, implement, and maintain policies and processes for managing business traveler populations, ensuring alignment with global best practices and regulatory requirements.
Liaise with Corporate Tax and Legal teams to assess permanent establishment risks and implement mitigation strategies.
Monitor travel patterns, stay lengths, and tax/social security thresholds to proactively identify and address compliance risks.
Actively participate in strategic global mobility projects, including the bidding process
Immigration Management
Oversee all phases of immigration processes for business travelers, including application review, approval, and coordination with service providers
Maintain up-to-date knowledge of Canadian, US, and global immigration regulations and processes.
Tax & Social Security Coordination
Manage tax filing processes, tax reconciliation, and social security compliance for business travelers in collaboration with external providers.
· Ensure timely filings and payments, and coordinate with payroll on remittances and shadow payroll as needed for cross-border business travelers.
Advise employees and stakeholders on tax implications, social security coverage, and reporting requirements for cross-border travel.
Data Management & Reporting
Prepare regular business traveler compliance reports and analytics for management, highlighting trends, risks, and opportunities for process improvement.
Work on continuous improvement for accurate maintenance of immigration, tax, and social security records in HRIS systems (e.g., Workday), implementing robust data integrity controls.
Conduct regular audits of business traveler activity to identify non-compliance and recommend corrective actions.
Stakeholder Engagement & Training
Develop and deliver training programs and communications to promote a culture of compliance and awareness among business travelers and managers.
Maintain relationships with external advisors, government agencies, and industry networks to ensure up-to-date compliance knowledge.
Qualifications
Our ideal candidate has:
Bachelor’s degree in human resources, Business Administration, Law, or related field.
5 to 7 years of experience in global mobility, tax, immigration, or related compliance roles.
Strong knowledge of international tax, immigration, and social security regulations.
Excellent communication, stakeholder management, and analytical skills.
Proficiency in HRIS systems (Workday)and Microsoft Office Suite
Bilingual in English and French is strongly preferred.

Ability to manage multiple priorities in a fast-paced, deadline-driven environment.
High level of discretion in handling confidential information.
Working Conditions
This role is hybrid, with a combination of in-office and remote work. The incumbent will have the flexibility to work from home on certain days while still being able to meet tight deadlines and handle pressure.
