Role Overview

We are seeking a highly organized and proactive Executive Assistant to support our senior leadership team. This role is focused on executive calendar management, email coordination, communication relaying, and operational support for C-suite executives.


This is a hybrid position based in Toronto, ON. The role involves a mix of remote work and in-office presence, with in-person attendance required on a recurring basis to support executive coordination, meetings, and team alignment.


You will serve as a key coordination point for leadership, ensuring executives remain organized, informed, and focused on high-priority initiatives.

Key Responsibilities Executive Support
  • Manage complex executive calendars, including scheduling, prioritization, and conflict resolution
  • Monitor, organize, and draft responses for executive email inboxes
  • Coordinate meetings, agendas, and follow-ups with internal and external stakeholders
  • Relay messages clearly and accurately between executives and teams
  • Prepare briefing notes, summaries, and documents for meetings and decisions
  • Support travel planning and logistics when required
Operational Coordination
  • Track action items from executive discussions and ensure timely follow-through
  • Liaise with internal teams to support alignment on priorities and deadlines
  • Maintain confidentiality when handling sensitive information
  • Assist with documentation and reporting for leadership visibility
Cross-Functional Communication
  • Coordinate across operations, product, and business teams on executive requests
  • Support preparation of presentations and internal updates
  • Help ensure consistent communication flow across departments
Skills & Experience Required
  • Minimum 3+ years of experience as an Executive Assistant, preferably supporting C-suite executives
  • Strong calendar and inbox management skills in fast-paced environments
  • Proficiency with Google Workspace, Microsoft Office, and Slack
  • Excellent written communication and professional tone in correspondence
  • High level of discretion and ability to handle confidential information
  • Strong organizational and multitasking abilities
  • Quick learner with new tools and systems
  • Calm, proactive, and solution-oriented under pressure
Job Details
  • Job Type: Full-Time
  • Pay: $45,000.00-$70,000.00 a year
  • Flexible language requirement: Fluency in French is an asset
  • Schedule: 8 hour shift, Monday to Friday, Overtime
  • Location: Hybrid (Toronto, ON — in-office presence required on a recurring basis)
