Position Profile
As the Executive Assistant to the Senior Vice President, Operations, you will provide high-level administrative and operational support in a dynamic, fast-paced environment. Acting as a trusted partner, you will ensure seamless coordination of priorities and deliverables while embodying CAE’s core values.

Key Responsibilities

  • Serve as the primary point of contact for the SVP Operations, managing communications with professionalism and discretion.

  • Coordinate calendars, meetings, and priority activities, ensuring alignment with organizational goals.

  • Prepare reports, maintain agendas, and manage priority lists with exceptional attention to detail.

  • Organize travel arrangements and process related expense reports promptly.

  • Oversee assigned projects and special events, demonstrating flexibility and adaptability.

  • Support the preparation of the department’s annual budget and monitor monthly performance.

  • Create and maintain high-quality documents and presentations using Microsoft Office Suite (Excel, Word, PowerPoint), ensuring visual appeal and clarity.

  • Handle confidential documents with the utmost integrity and discretion.

  • Be available during critical periods (e.g., Board meetings etc...) to ensure timely delivery of key outcomes.

  • Leverage Copilot to streamline administrative tasks, draft and proofread documents, create visually appealing presentations, and optimize workflows for maximum efficiency.

  • Perform other related duties as required, going the extra mile to support organizational success.

Qualifications

  • College or vocational diploma in secretarial studies, or an equivalent combination of education and experience.

  • Minimum five years of experience as an executive assistant supporting senior leadership.

  • Highly self-driven, dependable, and dynamic, with strong organizational skills and the ability to thrive under pressure.

  • Strong interpersonal skills and a positive, personable attitude; demonstrates kindness, empathy, and respect at all levels of the organization.

  • Excellent listening skills, combined with outstanding verbal and written communication abilities.

  • Proven ability to prioritize tasks, solve complex problems, and adapt quickly in a fast-paced environment.

  • Strong sense of responsibility and pride in delivering high-quality work.

  • Proficient in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook) and comfortable using digital productivity tools like Microsoft Copilot to enhance efficiency and collaboration.

  • Flexible and willing to adjust during non-standard hours when critical deliverables require attention.

  • Bilingual (French and English), with exceptional attention to detail in both languages.
