Principales responsabilités

  • Effectuer la saisie de données et assurer l’intégrité de la base de données du bureau local, y compris les prévisions de ventes, les rapports d’opportunités, les réaffectations d’opportunités et la maintenance des données.
  • Vérifier les contrats et renouvellements de service, et obtenir les bons de commande requis pour les renouvellements.
  • Préparer et traiter les propositions d’avenants (change orders) et enregistrer les commandes connexes dans le système de gestion des commandes.
  • Rechercher les pièces pour les travaux de service et réparation (S&R), avec approbation préalable du superviseur technique.
  • Participer à la préparation des soumissions clients, présentations PowerPoint, lettres, feuilles de calcul, cautionnements de soumission, certificats d’assurance, cautionnements de paiement et d’exécution, questionnaires de préqualification et documents contractuels.
  • Créer et maintenir les dossiers de projets ainsi que les rapports quotidiens, hebdomadaires ou mensuels liés aux projets.
  • Coordonner les réunions, salons professionnels, événements et autres activités pour l’équipe des ventes.
  • Maintenir la liste locale des appels d’offres et participer à la collecte et à la saisie de données.
  • Gérer le courrier entrant et sortant relatif aux projets, ainsi que les contrats, dessins, documents de conception et documents de soumission.
  • Soutenir le processus de clôture des contrats afin d’assurer une fermeture de projet rapide et efficace.
  • Organiser et maintenir la documentation des sous-traitants (certificats d’assurance, cautionnements, etc.).
  • Coordonner les processus de facturation de Daikin Applied, les exigences liées aux sous-traitants et les documents requis afin d’atteindre les objectifs de revenus.
  • Identifier et mettre en place des ententes d’approvisionnement avec les sous-traitants ou fournisseurs approuvés.
  • Participer à la préparation des calendriers simples de facturation de projets dans les délais prescrits.
  • Préparer et traiter diverses communications et documents, notamment les demandes d’information (RFI), lettres de transmission, lettres d’accueil aux clients, organigrammes de projets, rapports de paie certifiés et documents d’assurance.

Qualifications

  • Diplôme d’études collégiales (DEC) ou expérience équivalente.
  • Expérience ou formation dans le domaine du CVC considérée comme un atout.
  • Connaissance des pièces et composantes CVC.
  • Expérience avec Salesforce ou tout autre logiciel de gestion des ventes un atout.
  • Excellente maîtrise de la suite Microsoft Office.
  • Excellentes compétences en communication en français et en anglais, tant à l’oral qu’à l’écrit.
  • Solides aptitudes organisationnelles et souci du détail.

Daikin Applied is seeking a Sales Coordinator to join our team. Location: Montreal or Quebec City

Key Responsibilities

  • Maintain the integrity of the local office database through accurate data entry, including sales forecasts, opportunity reports, opportunity reassignments, and data maintenance.
  • Verify service contracts and renewals and obtain purchase orders required for renewals.
  • Assist with preparing and processing change order proposals and booking related orders within the order management system.
  • Research and identify parts for Service & Repair (S&R) work with approval from the Technical Supervisor.
  • Support the preparation of customer proposals, PowerPoint presentations, correspondence, spreadsheets, bid bonds, certificates of insurance, payment and performance bonds, prequalification questionnaires, and contract documentation.
  • Establish and maintain project files and complete daily, weekly, and monthly project-related reports.
  • Coordinate meetings, trade shows, events, and other activities for the sales team.
  • Maintain the local bid list and assist with gathering and entering bid information.
  • Manage incoming and outgoing project correspondence, contract documents, submittals, drawings, and design documents.
  • Assist with project closeout activities to ensure timely and successful project completion.
  • Organize and maintain subcontractor documentation, including certificates of insurance and bonding documentation.
  • Coordinate Daikin Applied invoicing processes, subcontractor requirements, and project documentation to support revenue objectives.
  • Identify and establish procurement agreements with approved subcontractors and vendors.
  • Assist with developing simple project billing schedules and ensuring completion within established deadlines.
  • Prepare and process Requests for Information (RFIs), transmittal letters, customer welcome letters, project organizational charts, certified payroll documentation, and insurance-related forms.

Qualifications

  • Associate Degree or equivalent combination of education and experience.
  • HVAC industry experience or technical background preferred.
  • Knowledge of HVAC parts identification and lookup processes.
  • Experience with Salesforce or other CRM/sales tracking platforms.
  • Proficiency in Microsoft Office Suite.
  • Strong written and verbal communication skills in both French and English.
  • Excellent organizational skills and attention to detail.

The typical hourly pay range for this position in Montreal is $32.88 – $54.12 per hour. Actual compensation will be based on a variety of factors, including skills, qualifications, experience, and geographic location
