The role we are offering you:

The Associate Chief of Staff will support the Chief of Staff in driving strategic alignment, operational efficiency, and executive coordination across the CEO’s office and Senior Leadership team. This role blends analytical rigor with execution, stakeholder engagement, and oversight of CEO-level governance, offering a unique vantage point into enterprise leadership and decision-making. Key responsibilities:

Strategic Planning & Execution

  • Assist in the formulation and tracking of CEO and EMC annual objectives in collaboration with the Strategy team and the Business Units.

  • Consolidate quarterly performance updates and year-end reports for Board review with the Strategy team.

  • Monitor progress of CEO initiatives across Business Units and Functional Departments, identifying delays and supporting remedial planning.
     

Stakeholder coordination & engagement

  • Liaise with internal teams and external partners to support the planning and execution of CEO engagements with employees, customers, OEMs, investors, and government officials.

  • Prepare briefing materials for CEO meetings with customers, partners, and government officials, especially for trade show and industry events hand in hand with the Marketing team.
     

Executive Communications & Coordination

  • Support the preparation of CEO-level governance meetings, board updates, and CEO performance dashboards.

  • Prepare summaries and follow-ups from key meetings, ensuring accountability and timely execution of action items.

  • Support timely and accurate internal & external communications from the CEO’s office.
     

Operational Support

  • Collaborate closely with the Executive Assistant to the CEO to coordinate logistics for CEO-level governance meetings, executive level meetings, offsites and site visits, as well as external stakeholder engagements.

  • Support the Chief of Staff in preparing for executive meetings, industry events and site visits, including agendas, briefing or pre-reads, and follow-ups.

  • Collaborate with Strategy, HR, Finance, Legal, Investor Relations, Comms and the Global Tech team to ensure cross-functional coordination.

  • Assist in managing cross-functional initiatives and special projects from planning through execution.

  • Act as a thought partner and sounding board for the Chief of Staff.

Key Qualifications

  • Bachelor’s degree in Business Administration, Political Science, Communications, or related field; MBA or equivalent is a plus.

  • 3–5 years of experience in business analysis, operations, strategy, consulting, customer services or executive support. Experience in Aviation and or Defense & Security industries considered a plus.

  • Strong analytical and problem-solving skills; proficiency in Excel, PowerPoint, and data visualization tools.

  • Excellent written and verbal communication abilities.

  • Highly organized, detail-oriented, and able to manage multiple priorities. Proactive, resourceful, and adaptable. Comfortable with ambiguity and eager to learn. Willing to handle both strategic and tactical tasks.

  • High discretion and professionalism in handling confidential information.

  • Bilingual (English/French) preferred.
