We are currently seeking an Assistant Manager, Documentation and Agency to support our experienced documentation and vessel agency team in Montreal. In this role, you will contribute to the efficient handling of documentation processes and provide assistance to our Boarding Agents. You will also take charge of port agency activities across various regions.
Location: Travel to Montreal, Quebec and Trois-Rivières
Work hours: Requires work outside of regular business hours, including weekends and holidays
WHAT YOU'LL BE DOING | THE ROLE
In this role, you are responsible to:
Documentation (60%)
Prepare ship documentation; manifests, Bills of lading and other pertinent documents keeping the information up-to-date and ensuring proper compliance with regulations.
Co-ordinate with the charterers and agents to ensure all the documents are prepared well in time for smooth port call turn-around
Act in accordance with all relevant regulations and maritime laws.
Process and document the information in our maritime documentation system.
Assist with other documentation tasks as required and/or assist marine agency team.
Agency (40%)
Assist other Boarding Agents with communication with the vessels to collect the information required by the different stakeholders.
Participate in the monitoring regulatory compliance (ballast, cargo residues, Pre-arrival notifications).
Communicate with various government authorities.
Assist other Boarding Agents with the preparation of ship’s, customs and other pertinent documents.
Assist other Boarding Agents attending to vessel arrival/departure (after hours while on duty).
WHAT YOU BRING | THE PERSON
The ideal candidate has:
A minimum of 3-5 years of experience in a similar role.
Knowledge of maritime shipping and pertinent documentations is an asset.
Experience in a fast-paced, corporate work environment.
Highest standard attention to detail.
Strong organizational and interpersonal skills.
Proficiency with MS Office Suite.
Must have a valid driver’s license and a reliable transportation.
