Job Description

The Administrative Assistant is responsible for various administrative functions and will support Project Managers in project coordination. This position is available in the Sherbrooke, Laval, Montréal, Longueuil, or Québec City offices. The selected candidate may work in a hybrid mode.

Primary Responsibilities

  • Provide administrative support to project and engineering teams for the preparation, review, and formatting of presentations, spreadsheets, reports, service proposals, contracts, and other documents in French and English, as required
  • Carry out various tasks for project teams (document management, filing, archiving, standards management, purchase orders, invoicing, change order tracking, project and proposal setup, contract and deliverable tracking, procurement, conference registrations, training registrations, vehicle/accommodation/flight bookings, etc.) while complying with the firm’s quality assurance procedures
  • Prepare and review correspondence and other types of documents using the appropriate format.
  • Occasionally coordinate team activities
  • Demonstrate versatility and a commitment to continuous learning
  • Establish and maintain effective working relationships with office colleagues and various clients

Qualifications

  • DEC, AEC, or DEP in administration, office technology, or another relevant field
  • Minimum of five (5) years of significant experience as an Administrative Assistant
  • Experience in the consulting services industry
  • Experience with ERP systems (such as Microsoft Dynamics)
  • Strong attention to aesthetics in communications, high standards of work quality, and attention to detail
  • Bilingualism: Proficiency in both English and French (written and spoken) is an essential requirement for this administrative role, enabling effective communication with national stakeholders such as clients, suppliers, and internal teams
  • Proficiency in Microsoft 365, strong team spirit, ability to manage multiple files simultaneously, and strong priority and deadline management skills
  • Knowledge or proficiency in practical and relevant artificial intelligence tools for document drafting and analysis
